Vacancy for Meeting Support & Admin Officer

Hythe and Dibden Parish Council is looking to recruit a Meeting Support & Admin Officer working full time 37 hours a week based at the Grove in Hythe. This is a permanent post. The post holder will report to the Deputy Clerk to the Council. The purpose of this role is to assist the Council in its general administrational duties to enhance, improve and promote the vitality of the Parish and the viability of services provided to the local community.
Salary SCP 13, £24,948 plus enrolment in the Local Gov Pension Scheme (pay rise pending)
 

Main responsibilities:

The Meeting Support & Admin Officer will be responsible for a wide range of council duties generally under the following headings:
 

Meeting Support

Preparing/publishing/circulating agendas and associated reports for meetings, maintaining the content of public noticeboards used for the lawful display of agendas within the Parish.
Preparing monthly lists of planning & tree applications for the Planning Committee, and submitting Council’s comments accurately to the planning authority. Attending evening Council & Committee meetings generally once a week and preparing Minutes for approval. Binding Council Minutes at the end of each municipal year. Undertaking any administrative duties decided/requested by a Committee or Council.
 

General Administrative

Responding to telephone and personal callers to the council offices, assisting members of the public with their enquiries. Taking bookings for council facilities, liaising with hirers, updating the facilities software package, ensuring that booking sheets are produced and distributed for caretaking and invoicing, also liaising with caretaking staff regarding facility availability. Assisting with the administration of the council’s allotment sites. Keeping the Council’s website updated with Council business, including news items and information, & uploading details of forthcoming meetings/agendas/minutes. Prepare correspondence as required and ensure postage. Filing either electronic or hard copy of records. Assist with the banking if Finance Officer is absent.
